POSITION SUMMARY: Provides administrative and other support and assistance to the International department team by performing tasks outlined below.

LOCATION: New York, NY office. BMI has transitioned back to working in the office on a regular hybrid schedule. At present, most team members are expected in the office three (3) days a week. Decisions regarding future transitions will take place in phases as BMI continues to closely monitor COVID-19 as employee safety is our priority.

FUNCTIONS OF THE JOB

  • Arrange travel and itineraries for senior staff and compiles documents for travel-related meetings.
  • Screen incoming calls and correspondence and responds independently when appropriate.
  • Organize visits, events or conferences by coordinating facilities and catering.
  • File documents, organize and maintain filing system.
  • Manage supplies for department.
  • Manage incoming and outgoing mail for department.
  • Process expenses for the International Department.
  • Provide assistance to foreign partners with their inquiries.
  • Assist with special projects, which may include online research and preparation of reports and presentations.
  • Ensure compliance with foreign tax requirements.
  • Regular attendance.
  • Other duties as assigned.

POSITION QUALIFICATION REQUIREMENTS

Education: Bachelor’s Degree or equivalent preferred
Experience: Minimum 1-year administrative experience preferred.

Skills and Abilities:

  • Strong communication skills, written and verbal
  • Proficiency in Word, Excel and Outlook; PowerPoint a plus
  • Ability to interact professionally with a diverse employee population, and with all levels of staff and management
  • Detail oriented
  • Ability to take direction and handle multiple tasks simultaneously
  • Ability to work both independently and within a team
  • Ability to effectively respond to questions from societies, foreign affiliates and other clients
  • Ability to identify potential sensitive situations and recognize the highest level of confidentiality
  • Ability to conduct research using a variety of sources including internal databases, the internet and third-party resources
  • Ability to write reports and business correspondence
  • Foreign language strongly preferred

Salary Range:
$48,000.00 - $53,000.00 (USD). The specific base salary offered to a successful applicant will be based on individual qualifications, skills, experience and education. The pay range is subject to change at any time based on various internal and external factors.
